Report when it suits you

Report deviations immediately or when it suits you. The system is completely web-based and supports virtually all browsers on the market including smartphones and tablets.

 

Feedback to the reporter

By entering one’s e-mail address, feedback on the status of the case can be automatically submitted to the reporter throughout the entire process.

For you who analyze

For those of you who analyze deviations in order to improve the business there are a variety of statistics and analyses to take part. Choose from the predefined reports for quick and easy presentations or customize your own analyses for deeper evaluations.

 

  • Flexible analyses attributes. Define and combine multiple attributes to tailor analyses and to identify cause-effect relationships.
  • Filtering for fast search. Search and filter on values, attributes, categories, or other parameters to quickly find the information you need.
  • Overview of the entire process. flexiteBPMS gives managers and process owners an opportunity to overview that the process works according to established procedures and time frames.
  • Categories of cause for statistics - For long-term statistics there are different levels of categorization of cause where overall choices lightens various fields for possible detailed reason.

Increased internal efficiency 

When reporting errands responsibility are automatically set to the appropriate resources and set rules governs how the deviation should be handled. Access to the handling of an errand is done easily via a click on a link in the e-mail sent to the responsible or by logging into the system. An accepted errand by the manager requires that the errand is taken care of and not left behind. Different choices in the form controls the continued flow of the process.

 

Monitoring and overviewing the process

With your own personal responsibility overview of the process managers can see where in the process the errands currently is.

 

Nothing falls through the cracks

If the assigned responsible does not start his activity within the specified maximum time, an alarm is automatically sent out. If the responsible still does not begin the activity an alarm is sent to the senior manager. The process is controlled according to an alarm and escalation schedule.

How it works

  • A deviation occurs and a reporter registers the deviation.
  • The reporting is carried out on a form placed on the Intranet, the website or another platform of choice.
  • The reporter’s different choices in the registration form, as well as predefined settings, govern the continued flow in the process.
  • Some choices govern the allocation of responsibilities to the correct manager. Other choices govern when cases shall raise alerts, etc.
  • When the recipient of a case (often the area manager) has accepted the case, it is forwarded for processing based on predefined procedures.
  • If the responsible executor does not start their activity within the specified maximum time, an alert is sent automatically.
  • If the person responsible still does not start the activity, an alert is sent as per the defined escalation procedure, often to a senior manager.
  • Access to the case for processing may be gained through logging in or through clicking on the link in the e-mail message that the person responsible gets at the registration of the case.
  • With their own personal responsibility overview of the process, the person responsible can see where in the process the administration of the case is currently at.
  • If the reporter's e-mail address is specified automatic feedback is sent to the reporter throughout the process.

  • Automatic login. Everything that happens in an errand is stored in a log. The logging makes it possible to see who has done what and when for each errand.
