Risk Management
According to the law it is the employers responsibility to estimate which sources of risks that can lead to bad-health or injuries within the organization. The risks must be gathered in order to estimate whether they are serious or not. Risks must be measured where the most important ones must be handled first. You cannot avoid all risks but they must be handled anyway, for instance, with clearer instructions, more support, guidance or security equipment. The organization must appoint one person who is responsible for making sure the risks are measured and for controlling who has taken which measures against the risks.

Process Example for Risk Management
No standardized forms are supplied by the Agency for Working Environment in order to handle and manage risks and near misses. The organization itself must find out what kind of information is relevant for handling its own risks and near misses. Due to this purpose we have, from experience and together with customers, created a Process Example for managing risks and near misses. Managing risks and near misses in flexiteBPMS consists of reporting risks, near misses and injuries according to the request of the Agency for Working Environment. The Process Example contains an errand flow with registration, analysis, measure and follow-up.

Registration of risks and near misses is done with the help of a web-form assessable anonymously or through a log in. The form contains a number of standardized fields defined by long experience as well as by the support of our customers. Fields can easily be added or changed in order to suit the needs and terminology of the organization. Some fields are required others are optional. A user list is created containing the names of all the employees. If, or when, a risk or near miss occurs, the employee’s name can be chosen from the list. For employees not in the user list, first and last names can be added to the system manually.

Responsibility for reports is determined by rules based on the organization’s structure or on persons who are responsible for different areas, i.e. areas with responsibility for production, safety zones or working location. The responsibility can also be delegated depending on which choices have been reported during registration. The person responsible can overlook which reports of risks and near misses are present in their own area of responsibility. If different measures should be taken in order to prevent that risks and near misses result in injuries, the reports are delegated as tasks. A report cannot be closed until all tasks are completed.

By managing risks, near misses and injuries with the help of an IT-support created in flexiteBPMS, the organization can systematically handle specific reports as well as prevent future events. Using flexiteBPMS in order to handle all risks and near misses saves time and energy for all persons involved as it is easy to report, easy to administer as all information is stored in the flexite database and the fact that fields can be added depending on what information is needed.

The long-term profit is, first and foremost, to create a routine for registration and follow-up, in order to make sure that no reports are neglected or forgotten. By quickly detecting risks and near misses that occur and by making sure that right measures are taken, based on the information stored in the flexite database where analyses are made through the integrated statistic applications, it is fairly easy to find correlations between events and causes in order to know where to take action against similar events in the future.
