Handling processes without an IT-support
The most common way of handling processes without an IT-support is by using forms and policy documents. The employee has to fill in the form and deliver it to the right person. There is no guarantee of how the process looks like or how the workflow functions in process. The form can be delivered to whomever and nothing guarantees that correct information has been filled in, or that anything is done about the report. How to develop an IT-support with flexiteBPMS
While using our method and methodology to describe the process, we simultaneously use 2conciliate Business Modeling Tool. It allows us to design, model and visualize our processes as we describe them, and it includes every needed functionality to create a complete process design.
1) Similar to an ordinary business-modeling tool, the first thing we do is to define which activities that are involved and in which order they are performed in the process.
2) When defining the workflow of the process we have to consider different ways for the report to flow. The report is not only possible to flow straight between activities. In some activities, depending on what information is given, there might be an optional workflow which is important to describe.
3) So far the process design is similar to a process model. The design is possible for a person to interpret and understand. We understand that an optional workflow means that the report can flow in two or even more different ways, but a computer does not understand this. A computer cannot interpret; it needs defined rules for flow. The process design needs to know which given information that defines which way the report shall flow. By using 2conciliate Business Modeling Tool, which is an object-oriented modeling tool, these rules for flow are defined directly in the process design.
4) To avoid reports flowing to the wrong person we need to define roles for every activity. Who is responsible for the specific activities in the process? It is important to define roles as a role and not in person. By defining a role and then man it with persons we avoid problems such as having to make changes in the process if anyone should leave the company or in any other way not be involved in the process anymore.
5) In order to set the frames for alarm messages and reminders to activated roles we need to set maximum times for every activity. How long shall every activity take to perform? In the same way as setting rules for the flow, we set maximum times directly in 2conciliate Business Modeling Tool. Maximum times can be decided on in two different ways, either through defining static time in the process design, such as days or hours, or by setting a dynamic time, meaning that the person responsible for the activity sets the maximum time directly on the form.
6) Receivers of information are needed in order for the person responsible for every activity to know when new reports are submitted and in order to send alarm messages and reminders. Therefore receivers of information are defined for every activity where it is considered a necessity.
7) For the functionality of the process it is important that the reporter knows what is happening to the submitted report. Receivers of feedback have to be defined in the process design. Without any feedback of progress, the reporter will loose interest in submitting reports within the system.
8) Finally we have to define which information should be given on each form. Directly in the integrated form designer in 2conciliate Business Modeling Tool, the forms are designed for every activity. Now the process model has evolved to a complete process design and is possible to automatize in flexite.
