Delivery through a traditional IT-project
When creating IT-support in a traditional IT-project and when there is an upcoming need for automatizing and improving a business process, there are several problems to take care of. There are often several participants involved in several required and complicated steps.
1. The business side has to formulate demands based on the upcoming needs.
2. A market analysis has to be done, often performed by a chosen participant from the IT-project.
3. The output of available functionality from the market analysis becomes the basis for the list of demands, created by a project leader.
4. The Purchase department becomes involved in the process. They communicate the list of demands to available suppliers on the market.
5. The suppliers have to interpret the list of demands and leave an offer to the Purchase department.
6. The Purchase department has to interpret the offers and choose which supplier is best suitable to deliver a solution.
7. A suitable IT-support is ordered and delivered to the business side.
Not only does this large amount of complicated steps and involved participants take a very long time, often this kind of IT-project takes up to 1.5 year, maybe 2 years or more, to perform. It also creates many logical gaps to be filled with interpretations from participants. Therefore the risk of loosing information between each step is immediate and the delivered IT-support will be far away from the original demands both in time and functionality.
The IT-support will also be delivered in a cascade delivery – everything will come at once – and there will be no support for improvements in the process. The large amount of time it takes to develop an IT-support and the lack of functionality towards the original needs, make it impossible to improve the process and make changes in the delivered solution. It forces the process to start all over again by formulating new demands.
Delivery through a traditional BPMS
Delivering an IT-support through a traditional BPMS will solve many of the problems with a traditional IT-project. The tools in a BPMS for supporting each step in the delivery process makes it possible to create an IT-support with a significantly diminished amount of steps and participants. That will in turn shorten the delivery time from 1.5 to 2 years to only a couple of months.
1. The business side formulates demands out of the upcoming needs. The needs are then expressed in a process model made in a modeling tool.
2. IT-specialists develop the IT-support on the BPMS-platform from the process model.
3. The IT-support is delivered to the business side and implemented by the IT-specialist.
The few amounts of steps and participants reduces the risk of loosing information in the delivery process and the IT-support will be close to the original needs in both time and functionality. As a part of the BPMS concept the short amount of time it takes to create an IT-support on a BPMS with tools that supports every step in the process, will make it possible to make improvements after the IT-support is delivered. The developed IT-support can be re-evaluated and improved without having to start all over again by creating new demands.
Although a traditional BPMS-project is far better and more effective than a traditional IT-project there are gaps in the process model which has to be interpreted by the IT-specialist that makes the IT-support close but not a perfect match to the original needs and demands.
